Privacy Policy

No Wake Zone ("the Service") is operated by Sand Point Studios LLC ("we," "us," "our"), a Michigan, USA limited liability company. Sand Point Studios LLC is the data controller for information collected through the Service. This policy describes what we collect, why, and how it is handled.
No Wake Zone is an internal, invite-only help-desk and ticketing tool used by Sand Point Studios and the product teams it works with (for example, contributors on FinishOps or other Sand Point Studios-supported products). It is not a consumer app with public self-registration or in-app purchases — access is granted account-by-account, and this policy is written for that audience.
What we collect
- Account information. You sign in with Google (on the web admin console and in the Android companion app). We receive and store your name, email address, and profile picture to create and identify your account. Sign-in is restricted to accounts we've explicitly pre-approved — there is no public self-signup. We never see your Google password.
- Tickets and support conversations. When a ticket is created or updated — through the admin console, the mobile app, our API, or by email — we store the ticket title, description, status, and every message in its conversation thread (who wrote it, when, and the message body).
- Email content, when you email support. If a ticket originates from an inbound email, we store the sender's email address, display name, subject line, and message body as the ticket record. As of this writing, email-originated tickets do not carry file attachments — attachments are currently only supported through the mobile app's photo/share capture feature (see below).
- Attachments. Photos or files you capture or share from the Android companion app (camera capture, share-to app, or pasted content) are uploaded and stored on servers we operate, associated with your account and the ticket they're attached to.
- Operational and diagnostic data. We log basic technical information needed to run the Service — request timestamps, error reports, and similar operational records.
How Google sign-in data is used
We use the name, email address, and profile picture from your Google account solely to create your account, identify you within the Service, and control access. This data is never sold and never used for advertising. Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
How AI processing works
No Wake Zone uses AI to help triage and work tickets, and to power a search / knowledge-base assistant in the admin console. Ticket content (titles, descriptions, and thread messages) may be sent to these systems as part of that processing:
- Anthropic's Claude API. Ticket content is sent to Anthropic to power autonomous ticket-handling agents and, for some queries, the admin search/Q&A assistant. Under the API terms we operate on, this data is not used to train Anthropic's models.
- Self-hosted language models. Some lightweight processing (for example, classifying what an admin's search query is asking for) is handled first by a language model we run ourselves, on our own server — that data does not leave our infrastructure for those calls. It falls back to the Anthropic API above only if the self-hosted model is unavailable or the task needs it.
- Self-hosted search index. Ticket and documentation text is converted into a numeric search index (embeddings) using a model we run ourselves, so admins can search tickets and documentation by meaning, not just keywords. This indexing happens on our own infrastructure.
AI output assists our team; it does not make final decisions about your account or ticket on its own without a human able to review the result.
What we don't do
- We do not sell or rent your data.
- We show no ads and use no advertising trackers.
- We do not share ticket or account data outside Sand Point Studios and the specific product team a ticket belongs to, except with the processors listed below or as required by law.
Sharing and third-party processors
We share data with the following processors, only as needed to operate the Service:
- Google — for sign-in / identity verification (web and mobile).
- Anthropic, PBC — for AI-assisted ticket triage, autonomous ticket handling, and the admin search assistant, as described above.
- Infrastructure we operate ourselves — the ticket database, self-hosted search index, self-hosted language models, and attachment storage run on servers Sand Point Studios owns and operates. They are not third parties, but are noted here for completeness.
Storage and security
Ticket data is stored in a database we operate. Attachments are stored on servers we operate. Data in transit is encrypted (TLS/HTTPS). Sign-in is handled by Google; we never store your Google password. Access to the admin console and ticket data is restricted to pre-approved accounts.
Data retention and deletion
We retain ticket, message, and account data for as long as your account is active, or for as long as the ticket record is retained for support and operational history purposes. If you'd like your account or associated data deleted, contact us at [email protected] and we'll process the request.
Children
No Wake Zone is a business tool for Sand Point Studios and its product-team contributors. It is not directed at children and is not intended for use by minors.
Changes to this policy
If we make a material change to this policy, we'll update the effective date above. Continued use of the Service after a change means you accept the updated policy.
